Basic Conference Call Details

Establishing an Account

It's easy to set up an international conference call account via our secure on-line sign-up form. If you're applying during normal business hours, your account should be active within a few minutes of submitting your on-line application. You will receive an activation e-mail as soon as your account is ready to use.

International Out-dial

Important: The international out-dial feature is not automatically activated on new accounts. To activate it, wait until your new account is approved then fill out the International Outdial Agreement and fax it to the toll free number listed on the form. Check international rates here.

Access Number and Pin Codes

Your activation email should arrive within 10 minutes of your on-line sign-up, and will include the toll-free access phone number and both the moderator and participant pin codes for joining your conference call. It will also include information on how to log into your private password protected account management site. This site contains detailed instructions on how to use the many features of the AccuConference international conference call service. You'll also receive a toll-free technical support number.

Billing

Charges are billed to your personal or corporate credit card. No charges are made if you don't use the service. In months that you do use the service, your credit card will be charged on the first day of the following month. You will receive an email each month telling you where to download a copy of the bill. There are no set-up fees or contracts to sign, you can cancel at anytime.

Conference Rates

Conference calls are billed at 7.9¢ per minute, per leg. This means if you have 5 people from the US, Canada, or any of the 30 other no extra charge countries participating in your conference call, you will be charged a total of 39.5¢ per minute for the call. A 60 minute call would be $23.70. There are no setup fees, monthly fees, or hidden costs. However, if you access the system using a payphone within North America, a 60¢ payphone surcharge is applicable and account holders residing in Texas will be charged Texas sales tax. If you are a non-profit organization or expect to use a large number of minutes (over 2000 per month), please call us for special pricing.

Call recording is free. Recordings are stored as .mp3 files and can be downloaded for buring to CD or posting to your web site. Transcription service is available at $3.50 per minute.

Using AccuConference from Canada, Alaska and Hawaii

Conference call participants from Canada, Alaska, Hawaii or Puerto Rico, dial the same toll-free access number as your continental US participants and you will be charged the same low 7.9¢ rate for these calls. Canadians can also establish an AccuConference account.

No Reservations Needed

Your conference bridge is available to use 24 hours a day. You can either have an on-demand conference simply by telling the participants to hop onto your conference bridge using the access phone number(s) and PIN numbers you provided them or you can make a more formal scheduled conference call via e-mail notification. If you use OutLook for your email, you may want to download the OutLook plugin for scheduling conference calls.

Unlimited Participants

AccuConference can support as many participants as you need, but if you plan for over 50 participants, please contact AccuConference to reserve the lines.

Using Cell Phones on Conference Calls

You can use your cell phone to call the 800 access number and join a conference call, but your cell phone provider may/or may not charge you air time and other charges. AccuConference is not responsible for charges assessed by your cellular provider. If you do not know these restrictions, please contact your cellular provider.

How to Set-up a Conference Call

To set-up a conference call you first open an account. (See Establishing an Account above.) To use the service, notify your guests of the conference call details. The easiest way to do this is via email. Send your guests the time of the call (be sure to include the time zone), the phone number to access the call and the participant pin code. Each participant will call the toll free number at the prescribed time. A voice prompt will advise them to enter their pin code and they will be asked to speak their name. If the moderator has not yet joined the call, the participant will be placed on hold. If the moderator is present, they will be immediately joined to the conference.

If you have international attendees, you have the option of having them call (at their expense) to the non-toll free number you supply, or you can out-dial to them (see instructions below).

Out-Dial Instructions

Note: In order to use the Out-dial feature, you must download the International Out-dial agreement (pdf), fill it out and fax it back in. Please allow an extra day for this process.

Dial out to a participant: By pressing *1 on their touch tone phone, the “leader” is temporarily removed from the conference and can dial out to another participant.

After dialing out to the participant, the “leader” can press *2 to return to the conference with the new participant.

After dialing out to the participant, the “leader” can press *3 to return to the conference without the new participant.

Automate Your Out-Dialing

If you have participants you wish to outdial to on a regular basis, you can set up contacts within your online account. This will allow you to outdial to these people with the click of your mouse. You can even create "groups" of people you wish to outdial to, and again, you can accomplish the outdial to all of them with a click of your mouse. (Outdialing is always less expensive than having your international participants dial-in to the Atlanta, GA phone number, and it keeps all the costs consolidated on your account.)
